Privacy Policy

1. Summary

• Your tasks, projects, timer history and settings stay on your device unless you back them up, export them or use Fia AI.
• You sign in to Fia with Google. We receive your name, email address, profile photo and an account identifier.
• Fia AI is optional. When it is on, the data listed in its notice is sent to our server and to OpenAI to answer you.
• Our server keeps your account identifier with your plan, promo code, AI credit and AI usage records. It does not keep your Fia AI questions or conversations.
• We do not sell personal data, show ads or use third-party analytics or tracking.
• You can delete your account in Fia at any time. Questions go to privacy@clarenlabs.com.

2. Who we are and how to reach us

2.3Our Grievance Officer is described in section 13.

3. The clarenlabs.com website

3.1The website does not use analytics, advertising or tracking. It sets no cookies of its own; only the account page, if you sign in there, uses Google's sign-in, as section 4.5 explains. Its fonts and images are served from our own domain.

3.2Our hosting provider, Cloudflare, processes technical data such as your IP address, browser type and the pages requested, to deliver the website and protect it from abuse. Cloudflare keeps these logs under its own policies.

3.3If you email us, section 9 applies.

4. Your Fia account

4.1Fia requires Google sign-in, provided through Google Sign-In and Firebase Authentication. When you sign in, Google and Firebase process your name, email address, profile photo, account identifier and authentication credentials to create and maintain your session. Fia never receives your Google password.

4.2We use this information to identify your account, show your profile in the app, and link backups, plans and AI credits to your account. We process it to provide Fia, which you ask for when you sign in and accept Fia's Terms.

4.3Firebase Authentication also processes technical information such as IP addresses, app identifiers and device-platform information for security and abuse prevention. Google handles this as our service provider.

4.4When you use a feature that needs our server, the server checks your sign-in token with Google and may read when your account was created, to apply promotions correctly. Our server does not receive your name, except that your email address is used for website payments as section 7.3 describes.

4.5You can also sign in on clarenlabs.com/account with the same Google account, through the same Firebase Authentication service. The website then shows your plan, Fia AI usage and payments, which it reads from our server with your sign-in token. The website stores no data of its own and uses no cookies of its own; Google may set the cookies its sign-in needs.

5. Data that stays on your device

5.1Tasks, project names and notes, subtasks, schedules, countdowns, call reminders, focus sessions, statistics, settings and the record of your Terms acceptance are kept in Fia's private storage on your device.

5.2We do not run a server that holds these records. Clearing Fia's storage or uninstalling Fia removes them, so back up first if you want to keep them.

6. Fia AI

6.1Fia AI is optional. It stays off until you turn it on and agree to the data notice shown in the app.

6.2When you use it, Fia sends your Fia AI setup answers (such as your aim, daily focus goal and working days), a summary of your stats, project names, your chat messages and, for chat and day plans, task titles and dates, countdown names and call reminder titles, together with your time zone. Notes, subtasks, contacts and call history are never sent.

6.3This information goes to our server on Cloudflare, which sends a request to OpenAI to generate the reply. Requests to OpenAI do not include your name, email address or account identifier, and are sent with OpenAI's response storage turned off.

6.4While Fia AI is being tested, OpenAI may use the data in Fia AI requests to improve its models. We will update this policy and the notice in the app when this changes.

6.5Our server does not store your questions or conversations. A generated result is kept for up to 24 hours so it can be delivered to your device, and is then deleted. We keep usage records with your account identifier, the request type, model, tokens, cost, credits used and status, to run AI credits, prevent abuse and answer billing questions.

6.6If you speak to Fia AI, your device's speech recognition service, such as Google's, turns your speech into text. Fia receives only the text.

6.7You can turn off Fia AI at any time from its menu. This stops new data from being sent. To remove stored usage records, delete your account or email privacy@clarenlabs.com.

7. Paid Plans, AI credits and promo codes

7.1When you redeem a promo code or hold a Paid Plan, such as Fia Plus or Fia Pro, or AI credits, our server keeps your account identifier with the code you redeemed, your plan, its source and dates, and your AI credit balance and allowance.

7.2Your device keeps a signed copy of your plan status for up to 7 days, so paid features keep working offline.

7.3Payments on clarenlabs.com are processed by Cashfree Payments. We receive your email address, the mobile number you enter at checkout, what you bought, the amount and the transaction reference. Cashfree requires the mobile number for payment processing and receipts. We never receive your full card number, CVV, UPI PIN or bank login.

7.4We keep purchase and invoice records for as long as Indian tax and accounting laws require.

8. Backups, exports and device permissions

8.1Google Drive backup is optional and free. If you connect Google Drive and back up, Fia sends the backup to your own Google Drive and reads it when you restore. Backups may contain your tasks, projects, sessions, settings, countdowns and imported sounds. Fia asks only for access to the files it creates.

8.2File and CSV exports go to the destination you choose through Android. Anyone you share an exported file with can read it. Drive copies and exported files stay under your control, even after you uninstall Fia or delete your account.

8.3Fia asks for device permissions only for the features that need them:

• Contacts: if you open birthday import and allow access, Fia reads contacts on your device and saves only the names and dates you select as countdowns. Your address book is never uploaded.
• Pictures and files: Android's picker gives Fia access only to the pictures, sounds or backup files you select.
• Notifications and alarms: used for timer completions and reminders. Android permission and battery settings can affect delivery.
• Microphone: used when you record a voice note for a call reminder, which stays on your device unless you include it in a backup, or when you speak to Fia AI, as described in section 6.6.
• Display over other apps and foreground service: used for the floating timer when you turn it on. It shows Fia's countdown and does not read other apps.

8.4You can change permissions in Android Settings. Refusing an optional permission affects only the feature that uses it.

9. Emails you send us

9.1Our email is hosted by Zoho. If you email us, we receive your email address and what you include, and use it to answer your request, investigate a problem, process a refund or verify an account-deletion request.

9.2Please send only what is relevant. Never send passwords, verification codes or full card details. We keep correspondence only as long as needed to handle your request and any follow-up.

10. Who we share data with

10.1We use these service providers, which process data on our behalf or as independent providers under their own terms:

• Google: Firebase Authentication and Google Sign-In for your account, Google Drive for backups you choose, and Google Play for app distribution.
• Cloudflare: hosts our server, its database and this website.
• OpenAI: generates Fia AI replies when you use Fia AI.
• Zoho: hosts our email.
• Cashfree Payments: processes payments on clarenlabs.com.

10.2We do not sell personal data or share it for advertising. We may disclose information where the law requires it, or to protect the rights and safety of our users, the public or Claren Labs.

10.3These providers may process data outside India, including in the United States, under their published data protection terms.

11. How long we keep data

• Content on your device: until you delete it, clear Fia's storage or uninstall Fia.
• Your Fia account: while the account exists.
• Plan, promo code, AI credit and AI usage records on our server: while your account exists. When you delete your account in Fia, they are deleted, and promo-code redemptions are anonymised so they can no longer be linked to you.
• Fia AI results: up to 24 hours.
• Purchase and invoice records: as long as tax and accounting laws require.
• Emails: as long as needed for your request.

12. Your rights and choices

12.1Under India's Digital Personal Data Protection Act, 2023, you can ask for a summary of the personal data we process about you, ask us to correct, complete, update or erase it, withdraw your consent, nominate someone to act for you, and have your grievances addressed.

12.2To withdraw consent for Fia AI, turn it off in Fia AI. To end all processing, delete your account in Fia under Settings, Delete account, or follow the steps at clarenlabs.com/delete-account. Withdrawing consent does not affect processing that happened before.

12.3To make a request, email privacy@clarenlabs.com from the email address you use with Fia. We may need to verify your identity first. We aim to respond within 30 days.

13. Grievances

13.1Our Grievance Officer is Deepak Airy, Proprietor, Claren Labs, reachable at grievance@clarenlabs.com. Details are at clarenlabs.com/grievance.

13.2We acknowledge a grievance within 48 hours and aim to resolve it within one month.

13.3If you are not satisfied with our response, you may complain to the Data Protection Board of India.

14. Security

14.1Connections to Google, our server and Google Drive use HTTPS. Local records are kept in Android app-private storage, and our server accepts requests only with a valid sign-in token.

14.2No storage or transmission method is completely secure. Protect your device and Google account, and share backups carefully.

15. Children

15.1Fia is intended for people aged 13 and over. If you are under 18, a parent or guardian must agree to Fia's Terms on your behalf and supervise your use.

15.2Fia is not directed to children under 13. If you believe a child under 13 has provided personal data through Fia, email privacy@clarenlabs.com so we can investigate and delete it.

16. Google's policies

Google services have their own policies: the Google Privacy Policy at policies.google.com/privacy and Firebase privacy information at firebase.google.com/support/privacy.

17. Changes to this policy

17.1We update this page when our data practices change and show the version and effective date at the top.

17.2If a change is significant, we will also tell you in Fia before it applies.
